CURRENT STANDING RULES

I. Purpose of Standing Rules

     A.   Standing rules are temporary rules that are intended to assist the Board of Directors (hereinafter listed as the Board) in carrying out its assigned duties. They may be changed at will by a simple majority of the Board Members present at any meeting (provided that there is a quorum present).

     B.   Since standing rules are temporary, they are only effective for the period of time that a specific Board is in office. Therefore, each incoming Board needs to reaffirm or re-adopt them.

     C.   A copy of the standing rules must be available at every Board and Membership meeting. An additional copy should be posted in a common area.

II. Property

     A.   Disposition or lending of any Crighton Players’ property must have Executive Committee approval. This committee is composed of the current Board President, President-Elect, Secretary and Treasurer.

III. Business and Finance

     A.   Receipt of all income, disbursement of all expenses and supervision of the recording thereof shall be the responsibility of the Treasurer. The Treasurer, Comptroller and Theater Manager will work as a team to have the financial statements prepared and presented to the Board on a timely basis.

          1.   The Board may designate a Comptroller to maintain a Crighton Players checking account for immediate payment and reimbursement needs.

          2.   The Treasurer shall cause the Crighton Players books to be audited by an Independent Certified Public Accountant on an annual basis. The Board must pre-approve the cost, if any, for this audit.

     B.   All capital expenditures are subject to the approval of the Board.

     C.   Expenses incurred during a production must be submitted to the Comptroller within thirty (30) days of being spent. Requests for reimbursement must include a receipt showing—

          1.   Item purchased

          2.   Where purchased

          3.   Date of purchase

          4.   Amount of purchase

          5.   Purpose of expenditure

          6.   Director’s signature

     D.   From time to time, the Comptroller may provide an advance to Play Directors for necessary purchases. The same type of documentation listed above applies to these expenditures. Failure to provide adequate documentation on monies spent may result in a demand for return of the monies advanced.

IV. Play Reading and Selection

     A.   Each invited director shall present no fewer than three (3) plays to the Play Director’s Committee (hereinafter known as the Play Committee) by August 1st of the season prior to the one under consideration.

     B.   When presenting their selections for approval to the Play Committee, directors shall include the complete approved Criteria Form.

     C.   The Board shall receive from the Play Committee their recommendations for the upcoming season by the November Board Meeting of the season prior to the one under consideration.

V.  Membership

     A.   An active Crighton Players’ member is an individual who has complied with subsection C (see below) and participated in any aspect of Crighton Players’ productions and business (performance, directing, choreography, backstage work, technical work, front of house work, fundraising, committee involvement, etc.) or who is a season ticket subscriber, within the current season, beginning on the July 31st  directly proceeding the season and ending on the July 30th of the season’s end.                                             

     B.   Any question of whether or not participation warrants membership will be brought to the Membership Chairman, who shall make a determination and notify the Board of Directors.

     C.   Members are required to sign the Crighton Players’ Membership Book and to read and abide by the By-Laws and Standing Rules of the organization.  A member’s signature in the Membership Book denotes acceptance of both the By-Laws and the Standing Rules of the organization.  Violation of By-Laws and/or Standing Rules is cause for the revoking of member status.  Issues involving violations shall be brought to the Board of Directors.

     D.   The President shall appoint a Membership Chairperson who shall be responsible for maintaining the Membership records and keeping a current Membership list.

VI. Tickets

     A.   The Board shall annually set all Crighton Players ticket prices.

     B.   Twelve (12) complimentary tickets per production shall be allocated to the Director of the show to use as they see fit.

     C.   The Board may authorize the Theater Manager to give out additional complimentary tickets for promotion and publicity purposes.

VII. Meeting

     A.   A joint meeting of the Board and the Play Directors shall be held when the plays are submitted for the upcoming season.

     B.   All Committee chairs shall report to the Board and, if not Board Members, may attend Board meeting as non-voting members.

     C.   The Board shall hold joint meetings with the Play Committee whenever necessary to disseminate and discuss organizational and operational issues and concerns.

VIII. Parties

     A.   Only cast, crew members and Board members (as well as their spouses/dates, or parents/guardians/chaperones for minor participants) may attend First Nighter parties.

     B.   Minors may attend cast parties only if they have a parent or chaperone with them.

IX. Technicians

     A.   Only technicians approved by the Owen Theater Technical Director and qualified assistants may operate Crighton Players technical equipment (example: lights, sound, power tools, personnel lifts, special effects equipment, etc.)

X. Publicity and Programs

     A.   The Publicity Chairperson shall be responsible for all publicity (print and broadcast) for all productions and shall coordinate publicity activities with the Play Director and/or the Play Assistant Director.

     B.   The Program Chairperson shall be responsible for program layout, production and printing.

XI. Costumes

     A.   Costuming for all productions will be pulled from the Crighton Players’ costume stock. When appropriate costuming is not in stock, costumes may be made or rented when cost is preapproved in the production budget.

     B.   Approved costume rentals will be paid for by the Crighton Players.

     C.   Every cast member shall return all Crighton Players’ costumes in good repair.

XII. Casting and Production

     A.   All auditions are open.

     B.   No director shall pre-cast. The director (or the director’s designee) should contact each person cast to confirm their participation. The cast should not be announced until all confirmations have been made.

     C.   The Theater Manager will regulate all theater thermostats.

     D.   The Play Director is responsible for the conduct of the cast and crew during rehearsal, workdays and performances.

          1.   As a general rule during rehearsals, there is no permission to eat in the lobby, office/concession area, the theatre or in the backstage wings. All food and beverages should be confined to the Rehearsal Hall and the Shop Area.

          2.   Smoking is not permitted anywhere in the building.

          3.   With the exception of water, food and drink are not allowed in the theatre beyond the stage apron.

          4.   Double-check the lights, all doors and the general security of the building and then set the alarm when leaving.

          5.   All garbage should be emptied daily or more frequently if needed. There is a dumpster behind the theater for that purpose.

          6.   The Play Director is responsible for the condition of the Rehearsal Hall, Shop and Stage Area. If the Rehearsal Hall, Shop and/or Stage Area are left in an unacceptable condition, the Director should be the one to rectify the problem up to and including cleaning these areas personally.

     E.   Any unusual circumstance or problem areas should be reported to the Theater Manager as soon as possible. Please leave a note in the box office if the Theater Manager is not in the building.

     F.   Cast, crew and anyone else directly involved with any production are prohibited from possessing and/or consuming alcoholic beverages or any illegal substances during rehearsals, workdays, and performances. This rule will be strictly enforced.

     G.   Attendance to family (preview) night performance is at the discretion of the Director.

          1.   The Director shall assure that no food or drink is brought onto the Theater during Family Night.

          2.   No concessions shall be sold for Family Night.

XIII. Parking

     A.   All members of a production’s cast, crew and any others involved in running the Owen Theater should park in the lot behind the Theater during shows. This will leave the more convenient spaces for our paying audience.

     B.   The curved driveway in front of the Theater (portico) is for dropping people off, picking people up and very quick loading/unloading of necessary materials. It is not for parking at any time.
