CURRENT STANDING RULES
I. PURPOSE OF STANDING RULES
A. Standing rules are temporary rules that are intended to assist the Board in carrying out its assigned duties. They may be changed at will by a simple majority of the Board Members present at any meeting (providing that there is a quorum present).
B. Since standing rules are temporary, they are only effective for the period of time that a specific Board is in office. Therefore, each incoming Board needs to reaffirm or re-adopt them.
C. A copy of the Standing Rules must be available at every Board and Membership meeting. An additional copy should be posted in a common area.
II. PROPERTY
A. The President of the Board shall appoint a building committee annually with the advice and consent of the Board.
1. The building committee shall be empowered to investigate renovation and new building options and report back to the board.
B. Disposition or lending of any Crighton Players’ property must have Executive Committee approval.
III. BUSINESS and FINANCE
A. Receipt of all income and disbursement of all expenses shall be the responsibility of the Treasurer.
1. The Treasurer may designate someone, with board consent, to maintain a small Crighton Players checking account (not to exceed $5,000.00) for more immediate payment and reimbursement needs.
2. The Treasurer shall cause the Crighton Players books to be audited on an annual basis. The Board must pre-approve the cost, if any, for this audit.
B. All expenditures are subject to the approval of the Board.
C. Expenses must be submitted to the Treasurer within thirty (30) days of being spent. Requests for reimbursement must include a receipt showing –
1. Item purchased
2. Where purchased
3. Date of purchase
4. Amount of purchase
5. Purpose of expenditure
D. From time to time the Treasurer may provide an advance to individuals who are unable to expend money and wait for reimbursement. The same type of documentation listed above applies to these expenditures. Failure to provide adequate documentation on monies spent may result in a demand for return of the monies advanced.
IV. PLAY READING AND SELECTION
A. Each invited director shall present no fewer than three plays to the Board by October 1st of the season prior to the one under consideration.
B. When presenting their selections for approval to the Board, directors shall include the following:
1. A script or good synopsis of each play submitted, to include setting and character descriptions.
2. Any unusual staging or costume requirements.
3. The approximate cost of each production.
C. The Board shall select the plays and positioning of the plays for the upcoming season by December 1st and appoint the directors.
V. MEMBERSHIP
A. All participants in any Crighton Players activity must pay annual dues by September 1st of each year, or within one week of becoming involved in a Crighton Players production or other function. In order to be listed in the program, a participant must be a member for a minimum of one year.
B. Season ticket holders have their dues included as part of their season ticket purchase.
C. The president shall appoint a Membership Chairperson whose duties shall be to collect dues from all members and forward them to the Treasurer. The chairman shall also be responsible for maintaining the membership records and keeping an up to date membership directory.
VI. TICKETS
A. The Board shall annually set all Crighton Players ticket prices.
B. Twelve complimentary tickets per production shall be allocated to the Director of the show to use as they see fit.
C. The Board may authorize additional complimentary tickets (up to sixty (60) per show) for promotion and publicity purposes.
VII. MEETINGS
A. A joint meeting of the Board of Directors and the Play Directors shall be held when the plays are submitted for the upcoming season.
B. Committee chairs shall report to the Board on a monthly basis and, if not Board Members, may attend Board meetings as non-voting members.
C. The Board shall hold joint meetings with the Play Directors whenever necessary to disseminate and discuss organizational and operations issues and concerns.
D. Any Board Member may be removed from office after missing three Board meetings in a year upon a simple majority vote by the Board members in attendance at a regular or special meeting.
VIII. PARTIES
A. Only cast, crew members, and Board Members (as well as their spouses or dates, or parents, guardians or chaperones for minor participants) may attend First Nighter parties.
B. Minors may attend cast parties only if they have a parent or chaperone with them.
IX. TECHNICIANS
A. Only technicians approved by the Theatre Manager may operate Crighton Players and Crighton Theatre technical equipment (example: fly system, lights, sound, power tools, personnel lifts, special effects equipment, etc.)
X. PUBLICITY & PROGRAMS
A. The Publicity Chairperson shall be responsible for all publicity (print and broadcast) for the production and shall coordinate publicity activities with the Play Director and/or Assistant Director.
B. The Program Chairperson shall be responsible for:
1. Program advertising sales
2. Cast pictures
3. Program layout, production, and printing
C. The Program Chairperson shall order programs in the following quantities:
1. Musicals – 3,000
2. Christmas Show – 3,000
3. Regular productions – 2,000
XI. COSTUMES
A. Every member of each cast shall be responsible for paying for their own costume unless it is to become the property of the Crighton Players.
B. Approved costume rentals will be paid for the Crighton Players.
C. The Players will pay for dry cleaning of costumes belonging to individuals only in unusual circumstances or emergencies.
D. Every cast member shall return all Players’ costumes in good repair.
E. All Crighton Players’ costumes must be returned to the Crighton Players.
XII. CASTING and PRODUCTION POLICIES
A. All auditions are open.
B. No public announcement of the cast is to be made at auditions. The director (or director’s designee) should contact each person cast to confirm their participation. The cast should not be announced until all confirmations have been made.
C. Current play budgets are not to exceed $2,500.00 for regular plays and $12,000.00 for musicals. Deviation from these maximums requires Board approval. The Director should seek this approval prior to beginning rehearsal for the play or as soon as the additional budget needs are identified.
D. The Theatre Manager will regulate theatre thermostats. The Stage Manager may change the setting for the stage air system only.
E. The Play Director is responsible for the conduct of the cast and crew during rehearsal, workdays, and performances.
1. As a general rule, there is no reason to occupy the lobby, office/concession area, or balcony during rehearsals.
2. Smoking is not permitted anywhere in the building!
3. Food and drinks, except water, are not allowed in the theatre beyond the state apron.
4. Double-check the lights, all doors, and the general security of the building when leaving.
5. All garbage should be emptied weekly or more frequently if needed. There are two dumpsters in the alley behind the theatre for that purpose.
6. The play director is responsible for the condition of the rehearsal, shop and stage space. If the rehearsal, shop and/or stage space are left in an unacceptable condition, the director should be the one to rectify the problem up to and including cleaning these areas personally.
7. House lights may only be used during tech week.
F. If the stage floor has been painted other than its approved color for a show, it must be returned to the approved color at the end of strike.
G. Any unusual circumstances or problem areas should be reported to the Theatre Manager as soon as possible.
H. Cast, crews, and anyone else directly involved with the production are prohibited from possessing and/or consuming alcoholic beverages during rehearsals, workdays, and performances. This rule will be strictly enforced.
I. Attendance to family (preview) night performance is at the discretion of the director.
1. The Director shall assure that no food and drink is brought into the Theater during family night.
2. No concessions shall be sold for family night.
J. Nothing shall be attached to the stage proscenium.
K. Nothing shall be attached to the stage floor with fastening devices (nails, screws, etc.)
